Customer Service Representatives are the firsthand troubleshooters in each airline. Make sure you have addressed your complaints to them first before taking any other actions. If they can’t accommodate you well, you can take your issue higher by sending or emailing a letter to the airline’s corporate office.

Acknowledgement of the complaint should be made within 30 days upon receiving the complaint, and a response should be given by the airline within 60 days after it was received. Normally, compensations are subject to negotiation, and how you stated your complaint will determine the kind of action you will get.

In writing your letter, take note of the following guidelines from the Department of Transportation:

a. Type it and limit to two pages, if possible.
b. Include daytime telephone number with area code.
c. Keep it businesslike in tone. Never exaggerate.
d. Describe what happened and give flight details such as dates, cities, flight numbers and times.
e. Include copies, never the originals, of tickets and receipts or other necessary documents for proof and validity of complaint.
f. Include names of employees who have and have not taken your initial complaint properly.
g. Don’t clutter your complaint with a litany of petty gripes.
h. Let the airline know if you’ve suffered special inconvenience or monetary losses.
i. Let the airline know what you want to make amends.
j. Be reasonable on your demands.
